Position Description:
Legal Administrative Assistant
Our client, a prominent California-based law firm, is seeking a Legal Administrative Assistant to provide comprehensive administrative and legal support to attorneys and legal professionals. This hybrid position offers an excellent opportunity for a highly organized professional looking to develop their career within a collaborative and sophisticated legal environment.The ideal candidate will possess strong administrative, organizational, and communication skills, along with prior law firm experience and a commitment to delivering exceptional client service.
Responsibilities
- Provide administrative and secretarial support to attorneys and legal professionals
- Draft, edit, proofread, and format legal correspondence, agreements, and other practice-specific documents
- Prepare and manage document comparisons and redlines
- Coordinate and schedule meetings, appointments, and conference calls
- Assist with transactional closings, including:
- Signature packets
- Signature page coordination
- Document finalization
- Distribution of executed documents
- Prepare closing binders and transaction indexes
- Assist with corporate filings, organizational documents, and related corporate records
- Facilitate client intake procedures and conflicts checks
- Prepare expense reports, time entries, and travel arrangements
- Maintain calendars, client contacts, and attorney files
- Support billing and collection processes, including invoice correspondence
- Manage workflow and prioritize assignments to meet deadlines
- Provide professional and responsive client service
- Collaborate with attorneys, legal assistants, and other administrative departments
- Assist with onboarding and procedural support for new attorneys
- Utilize firm technology and workflow management systems to support efficient operations
- Perform notarial services as requested and maintain a notary commission if required
Qualifications
- High school diploma or equivalent required
- College degree preferred
- Minimum 1-2 years of law firm experience
- Strong organizational and multitasking abilities
- Excellent written, verbal, proofreading, and grammar skills
- Ability to manage competing priorities in a deadline-driven environment
- Strong attention to detail and commitment to accuracy
- Exceptional interpersonal and client service skills
- Ability to work independently and collaboratively within a team environment
- Positive, adaptable, and proactive approach to work
Technical Skills
- Strong proficiency with Microsoft Office applications, including:
- Word
- Excel
- Outlook
- Experience or ability to quickly learn:
- Adobe Acrobat
- DocuSign
- Time entry and billing software
- Document management systems
- Workflow management tools
- Minimum typing speed of approximately 70 words per minute with strong accuracy

Compensation & Benefits
- Salary Range: $50,000 – $75,000 annually
- Compensation based on experience, qualifications, skills, and location
