Position Description:
Client Accounts Operations Lead (Legal Billing)
Our client is seeking a Client Accounts Operations Lead to join its finance and billing team. This is an advanced-level role for a senior legal billing professional with strong analytical capabilities and experience managing high-volume, complex billing portfolios.
This position plays a key role in supporting firmwide billing operations, working across multiple teams and stakeholders, and serving as a subject matter expert. The Operations Lead will manage both hands-on billing responsibilities and broader operational initiatives, including training, process improvement, and cross-functional collaboration.
The role requires the ability to dynamically prioritize assignments across multiple managers and regions while ensuring high-quality, full-cycle billing support for both domestic and international clients.
Location & Schedule
This role is based in Palo Alto and offers a hybrid work arrangement, with an expectation of at least three days in the office. The position may require coordination across time zones and a flexible work schedule based on business needs.
Key Responsibilities
Billing & Client Account Management
- Manage high-volume, complex billing portfolios for institutional and high-profile clients
- Handle full-cycle billing, including reviewing and editing proformas, approvals, write-offs, and time transfers
- Prepare, finalize, and submit invoices in accordance with client requirements
- Generate and manage LEDES files and support e-billing processes
- Review billing data for accuracy and ensure compliance with client guidelines
- Research and resolve billing issues, rejections, and discrepancies
Global Billing Coordination
- Coordinate billing across international offices and stakeholders
- Track accruals, forecasts, and budgets for global clients
- Collaborate with international finance teams to ensure timely and accurate invoicing
- Produce detailed financial and billing reports
Operations & Process Improvement
- Analyze billing workflows and identify gaps or inefficiencies
- Develop and implement process improvements and standardized reporting
- Build metrics, reporting tools, and process documentation
- Participate in cross-functional projects and system enhancements
- Interface with IT and other departments to support system testing and implementation
Leadership & Team Support
- Serve as a subject matter expert in legal billing practices
- Provide mentorship, training, and guidance to billing staff
- Develop and deliver training programs to ensure consistent processes
- Act as a point of escalation for complex billing issues
- Provide temporary managerial support during absences or staffing gaps
Collaboration
- Work closely with attorneys, finance teams, and support staff to deliver seamless billing services
- Participate in client-facing discussions and internal strategy meetings
- Coordinate with multiple regional managers and stakeholders simultaneously
Qualifications
Experience
- Minimum 5 years of senior-level legal billing experience in a law firm or professional services environment
- Proven experience managing high-volume, complex billing portfolios
- Strong background in domestic and international billing, including e-billing
Technical Skills
- Advanced proficiency in legal billing systems (e.g., Aderant or similar)
- Experience with e-billing platforms (e.g., eHub, BillBlast, or similar tools)
- Advanced Microsoft Excel skills, including PivotTables and lookup functions

Compensation & Benefits
The expected salary range for this position is $107,000 – $143,000 annually, depending on experience, location, and overall qualifications.
