Position Overview
Our client, a leading international law firm, is seeking an Executive Assistant to join its Philadelphia, PA or Wilmington, DE office. This hybrid position offers the opportunity to serve as a high-level strategic partner to attorneys by managing the operational and administrative aspects of their practices, allowing them to focus on client service and business development.The ideal candidate will have substantial experience supporting senior professionals in a legal or corporate environment, exceptional organizational skills, and the ability to manage multiple priorities while maintaining a high level of professionalism and confidentiality.
Key Responsibilities
- Provide high-level executive and administrative support to attorneys and practice teams.
- Manage attorney projects and workflows to ensure deadlines, milestones, and deliverables are completed efficiently.
- Serve as a liaison between attorneys, clients, internal departments, and external contacts.
- Handle communications on behalf of attorneys using sound judgment and discretion.
- Coordinate and delegate work to legal support professionals and monitor project completion.
- Build effective working relationships across practice groups and administrative teams.
- Mentor and provide support to legal support staff assisting with attorney matters.
- Draft, proofread, edit, and finalize legal documents, correspondence, presentations, and other materials.
- Review work product for accuracy, quality, and completeness.
- Maintain and organize electronic and physical filing systems and document repositories.
- Conduct research and compile information for attorney projects, practice initiatives, and client needs.
- Plan and coordinate meetings, conferences, and client events, including logistics, agendas, and supporting materials.
- Manage attorney billing processes, including pre-bill review, approvals, and follow-up with billing teams.
- Oversee complex calendars, scheduling conflicts, travel arrangements, expense processing, and time entry coordination.
- Track competing priorities and proactively identify solutions to scheduling and workflow challenges.
Qualifications
- High School Diploma or GED required.
- Bachelor's degree in Legal Studies, Business Administration, or a related field preferred.
- Minimum of 5 years of experience in a legal or corporate administrative support role.
- Experience supporting attorneys, executives, or senior leadership.
- Strong understanding of legal procedures, terminology, and attorney support functions.
- Exceptional organizational, project management, and time-management skills.
- Excellent written and verbal communication abilities.
- Demonstrated ability to work independently while managing multiple priorities in a fast-paced environment.
- Strong client service orientation and professional demeanor.
- Ability to maintain strict confidentiality and handle sensitive information with discretion.
- Proven ability to collaborate effectively with attorneys, clients, and cross-functional teams.

Compensation
Compensation will be commensurate with experience, qualifications, and market conditions.
