Position Description:
Our client is a highly ranked international law firm who is seeking a Legal Executive Assistant (with 5+ yrs. experience) to support attorneys by managing the day‑to‑day administrative operations for approximately 5 attorneys within the practice in the Palo Alto office. Working in close collaboration with other legal support professionals, this role enables attorneys to focus on developing and sustaining their practices while ensuring operational excellence, responsiveness, and seamless client service.

Candidates will serve at an executive‑level to partner with their attorneys —facilitating communication, managing priorities, delivering critical information, and ensuring that meetings, materials, and workflows are accurate and timely. This position requires a strong combination of advanced administrative expertise, legal knowledge, discretion, and sound judgment, and plays a key role in representing the firm in a professional and positive manner.

Location

This position is based in the firm’s Palo Alto office and offers a hybrid work environment where employees will work in the office 3 days a week and be able to work from home 2 days a week.  Newly hired employees will be required to work in the office for the first 60 days to complete training & onboarding and gain familiarity with the team.

Responsibilities

  • Manage and support the attorney’s projects and priorities, ensuring deadlines are met and deliverables are completed efficiently; coordinate with attorneys and administrative teams to track milestones and outcomes.
  • Serve as a primary liaison between attorneys, clients, and internal departments, handling inquiries and communicating on the attorney’s behalf with professionalism, accuracy, and independent judgment.
  • Build and maintain strong working relationships across teams to promote efficiency, trust, and collaboration; provide clear direction and constructive feedback on assigned work.
  • Delegate tasks to Legal Support Assistants and centralized support resources as appropriate, monitor progress, and communicate status updates to ensure successful project completion.
  • Collaborate with other Legal Executive Assistants or Legal Administrative Assistants on complex or cross‑practice initiatives; provide mentorship and guidance to other support staff assisting the attorney.
  • Provide ongoing feedback and support for the professional development of support staff working with the attorney’s team.
  • Draft, proofread, and finalize legal documents, correspondence, and presentations; review final work product for accuracy and provide feedback to improve future outcomes.
  • Oversee the organization and maintenance of electronic and paper files within the firm’s document management systems (iManage) and repositories.
  • Conduct research on behalf of the attorney and practice group; compile materials for case preparation, executive briefings, and presentations.
  • Coordinate and manage meeting logistics with internal and external parties, including agendas, materials, and post‑meeting follow‑up.
  • Oversee billing‑related matters, including approvals, prebill processing, and follow‑up; act as an attorney proxy to resolve billing questions and ensure timely delivery of final invoices.
  • Manage the attorneys' calendar, meeting schedules, and complex travel arrangements; identify and resolve scheduling conflicts and communicate potential priority issues proactively.
  • Ensure time entry and expense submissions are assigned appropriately and processed accurately and on time.

  • Comfort adapting to new technologies, including application upgrades and AI‑powered tools used for document production, review, and research.
  • Proficiency with virtual collaboration tools such as Zoom and Microsoft Teams.
  • Ability to collaborate effectively with attorneys, clients, business professionals, and legal support teams at all levels.
  • Willingness to request assistance from firm resources as needed to ensure accurate and timely completion of work.

Education and Experience

  • Candidate must have at least a high school diploma or GED.

  • Candidates that have an Associate or Bachelor’s degree in Legal Studies, Paralegal Certification, Business Administration, or a related field are a plus but not required

Minimum Experience

  • Five or more years of experience in a senior administrative or executive assistant role within a law firm environment, supporting upper‑level leadership is a plus.
