Legal Secretary – Commercial Litigation

Position Description:
Legal Secretary – Litigation (Seattle)
Our client has an excellent opportunity for an experienced Legal Secretary to support both partners and associates within their Litigation practice. This is a non-exempt position reporting to the local office administration team.The ideal candidate will be self-motivated, proactive, and possess a strong understanding of the litigation process along with excellent communication skills. This role provides legal and administrative support to a litigation team of five or more attorneys, each managing varying workloads and jurisdictions.
This position works under attorney supervision and requires an in-office presence four days per week, with one remote day available weekly. The standard schedule is Monday through Friday, 9:00 a.m. to 5:30 p.m.
Responsibilities
- Prepare and process legal documents including subpoenas, complaints, motions, and other pre-trial filings, including state and federal e-filing
- Format pleadings in compliance with applicable court rules, including auto-generating Tables of Authorities (TOAs) and Tables of Contents (TOCs)
- Prepare, proofread, and format correspondence, pleadings, and related documentation
- Order Certificates of Good Standing for Pro Hac Vice admissions
- Organize exhibits, briefs, and supporting documentation; assist with document production, trial preparation, and trial support
- Record and monitor deadlines using firm docketing systems and attorney calendars
- Prepare engagement letters, open new matters, and coordinate with new business and conflicts teams
- Maintain court logins, passwords, and attorney admissions
- Assist with attorney pre-bills, including time entry when needed
- Schedule meetings and events, coordinate travel arrangements, reserve conference rooms, and manage guest office reservations
- Enroll attorneys in CLE programs and assist with CLE tracking and compliance
- Process expense reimbursements
- Provide backup support to other legal secretaries during absences
- Perform additional duties as assigned
Qualifications
- Bachelor’s degree preferred; high school diploma or GED required
- Minimum of five (5) years of experience as a Legal Secretary; large law firm experience strongly preferred
- Strong knowledge of federal and state court systems, including electronic filing procedures
- Experience with California and Oregon state and federal filings is a plus
- Demonstrated ability to manage multiple priorities under pressure with a high sense of urgency and accountability
- Proficiency in Microsoft Office (Word, Outlook, Excel), Adobe Acrobat, and document management systems (e.g., NetDocuments)
- Advanced Microsoft Word skills, including styles, track changes, and document comparison tools, preferred
- Experience with timekeeping, billing, and expense systems is a plus
- Washington State notary is a plus
- Willingness to work overtime as business needs require
Compensation & Benefits
The expected annual salary range for this role is $76,000 – $106,000, depending on experience, education, skill set, and other relevant factors.
