Position Description:
Our client, a well-established and highly regarded regional law firm with a long-standing presence on the east coast, is seeking a Legal Professional Assistant (LPA) to join its collaborative team environment. Position Overview
The Legal Professional Assistant will provide administrative support to approximately four or more attorneys and/or paralegals. This individual will interact regularly with clients, outside counsel, and internal team members.
The position follows a standard full-time schedule of approximately 37.5 hours per week, with occasional additional hours as needed.
Key Responsibilities
- Prepare legal documents, pleadings, contracts, and correspondence from drafts or dictated text
- Manage attorney calendars and assist with tracking deadlines
- Docket court filing deadlines and scheduling orders
- Maintain attorney time entries for billing purposes
- Coordinate travel arrangements, including flights, ground transportation, lodging, and itineraries
- Perform general administrative tasks such as scheduling appointments, transcribing dictation, drafting correspondence, scanning documents, and routing mail
- Answer and direct calls using a multi-line phone system in a professional manner
- Greet and assist visitors
- Support client billing processes, including review and issuance of invoices
- Coordinate conference room scheduling and setup
- Maintain and organize electronic and physical client files, including opening new matters and conducting conflict checks
- Ensure proper indexing and filing of legal documents
- Manage attorney contact databases and support business development efforts as needed
- Prepare closed files for off-site storage
- Adhere to firm policies and maintain strict confidentiality
- Handle additional administrative tasks as assigned
Qualifications
- Minimum of 5 years of experience as a legal secretary or administrative assistant in a law firm or legal department
- Associate’s degree or equivalent required; Bachelor’s degree preferred
- Experience supporting litigation practices required
- Strong knowledge of state and federal Rules of Civil Procedure across multiple jurisdictions
- Experience with state and federal court filings, including e-filing systems
- Advanced proficiency in Microsoft Office Suite; familiarity with Adobe Acrobat
- Experience with legal billing and timekeeping systems preferred
- Familiarity with electronic workflow systems is a plus
- Excellent communication, organizational, and time management skills
- Strong interpersonal and client service skills
- Self-motivated with the ability to anticipate needs and solve problems proactively
- Ability to manage multiple priorities in a fast-paced environment
- Team-oriented mindset with a collaborative approach
