Legal Executive Assistant (Law Firm Experience Required)

Position Description:
Our client is seeking a Legal Executive Assistant (LEA) to support attorneys on their Finance team. This is a high-impact, high-visibility role that plays a critical part in enabling attorneys to manage their practice effectively while contributing to the firm’s broader strategic initiatives.
The ideal candidate is exceptionally polished, proactive, and operates with a high degree of professionalism and discretion. This role requires someone who can anticipate needs, manage complex priorities, and thrive in a fast-paced, demanding legal environment. It is best suited for individuals with a proven track record of supporting senior attorneys or leadership within a law firm setting.
This role requires flexibility, including the ability to be in-office as needed based on attorney schedules, adapt to shifting priorities, and occasionally respond to urgent matters outside standard business hours.
Key Responsibilities
- Serve as a strategic partner to attorneys, managing sensitive, confidential, and time-critical matters related to their practice
- Represent attorneys with professionalism when interacting with clients, internal teams, and external stakeholders
- Anticipate needs and proactively manage shifting priorities in a fast-paced legal environment
- Build strong relationships across the firm to support collaboration and key initiatives
- Draft, proofread, and finalize legal documents, correspondence, presentations, and reports with a high level of accuracy
- Manage complex calendars, coordinate meetings, and ensure alignment across competing priorities
- Coordinate detailed domestic and international travel arrangements and manage expense reporting
- Oversee meeting planning, including agendas, materials, logistics, and follow-up actions
- Serve as a liaison between attorneys, clients, and internal departments, ensuring clear and timely communication
- Manage billing processes, including prebills, approvals, and client invoicing, and address related inquiries
- Conduct research and compile information for case preparation, presentations, and executive briefings
- Maintain organized and up-to-date electronic and physical filing systems within the firm’s document management systems
- Delegate and oversee assignments to Legal Support Assistants and other support teams, ensuring timely and accurate completion
- Provide mentorship, feedback, and support to junior team members to enhance performance and development
- Maintain strict confidentiality and adhere to information governance and firm standards
- Navigate high-pressure situations and competing priorities with professionalism and sound judgment
Qualifications
- High school diploma or equivalent required; Bachelor’s degree in legal studies, business, or related field preferred
- Minimum of 5+ years of experience in an administrative role within a legal or corporate environment supporting senior professionals
- Strong understanding of legal procedures, terminology, and documentation strongly preferred
- Exceptional organizational, communication, and project management skills
- Ability to operate independently and make sound decisions in a fast-paced, high-pressure environment
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and strong digital fluency
- Experience with legal technology, case management systems, billing tools, and document management systems preferred
- Demonstrated ability to work collaboratively, provide mentorship, and foster strong working relationships

Compensation
- $92,000-$122,000/year
