Permanent Placements is seeking a detail-oriented and proactive Legal Executive Assistant to join our client's Boca Raton office, supporting attorneys within the Private Client Services Practice Group. The ideal candidate will be a strong team player, highly organized, and thrive in a fast-paced, high-pressure environment. In this role, the candidate is expected to demonstrate initiative and sound judgment, managing tasks with minimal supervision. A successful candidate will also be able to effectively prioritize and handle multiple responsibilities, ensuring that attorneys receive seamless, high-level support.

Responsibilities

  • Support lawyers in the Firm’s Private Client Services Practice Group and work as part of a secretarial team to provide assistance to all lawyers (across practice groups) as needed. This includes comprehensive support for Head of Office and Department Chair (C-Suite)
  • Accurately edit all documents, briefs, and agreements
  • Update and maintain correspondence in the Firm’s document management system (iManage) 
  • Electronic filing of client documents on Firm’s document management system (Filesite)
  • Build client relationships by courteously communicating with clients
  • Complete and submit Expense Forms via Chrome River, prepare check requests, and invoices, and submit in a timely manner
  • Manage lawyer calendar appointments for client meetings and conference calls
  • Assist with time entries in DTE and liaise with the Client Operations team for partner billing matters
  • Assist in day-to-day duties such as faxing, filing, copying, scanning, and coordination of messenger services
  • Other projects and duties as assigned

Qualifications

  • Bachelor's Degree required
  • 3-5 years of legal experience. Ideally in transactional law. Trusts and Estates experience is a plus but not required.
  • Experience with execution and conforming of Estate planning documents preferred
  • Notary Public 
  • Proficiency with Microsoft Office (Outlook, Word, Excel and PowerPoint)
  • Strong written and verbal communication skills
  • Work independently and as well as within a team
  • Strong attention to detail and organization skills
  • Demonstrated ability to consistently multi-task and meet multiple deadlines
  • Exceptional follow-up and follow-through skills
  • Discretion when dealing with confidential matters
  • Available to work overtime as needed

This position will require physical presence in the office on a regular basis (at least 3x per week).
