IP Legal Assisatnt
Our client, a leading global law firm with a strong presence across 15 countries, is seeking a Legal Support Specialist to join their Intellectual Property team in their Chicago office. Position Overview:
The Legal Support Specialist will provide comprehensive administrative and legal support to attorneys and professionals within the Intellectual Property department. This hybrid role requires a proactive, detail-oriented individual who thrives under pressure and is committed to delivering high-quality work.
Key Responsibilities:
- Provide administrative and IP prosecution support to attorneys, patent agents, and clients.
- Maintain and organize legal files (both electronic and paper), and manage document processing and correspondence.
- Prepare and e-file documents with the U.S. Patent and Trademark Office (USPTO) and other relevant entities.
- Coordinate file transfers, manage document deliveries, and track executed documentation.
- Assist with litigation support, including preparing closing transcripts, maintaining discovery records, and handling court filings.
- Manage calendars, time entry, new matter openings, engagement letters, and client communications.
- Generate and update case status reports, IP schedules, and docket deadlines.
- Support billing processes, including invoice preparation and client correspondence.
- Coordinate travel arrangements, expense reports, and business development activities.
- Maintain and update trademark prosecution files and assist with quality assurance reviews of filings.
Qualifications:
- Bachelor’s degree or equivalent experience preferred.
- Minimum of 5 years of experience as a legal assistant, with a focus on Intellectual Property litigation.
- Strong understanding of IP litigation laws, court procedures, and patent/trademark prosecution (domestic and foreign).
- Proficiency in legal document formats, court filings (state and federal), and e-filing systems (CM/ECF).
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and meet strict deadlines.
- High level of discretion and professionalism in handling confidential information.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and legal document management systems.
- Experience with IP-specific databases such as Anaqua is a plus.
