Permanent Placements is seeking an Office Manager for our regional client's Chicago office. This role involves overseeing daily operations, including facilities and records management, litigation support, and coordinating workflow and coverage for non-attorney staff who provide clerical and administrative support.

Primary Responsibilities to include: 

  • Organize office operations (reception, copy services, litigation clerk duties).
  • Manage office/firm records.
  • Plan and coordinate staff/client events.
  • Oversee office supplies and meeting room preparation.
  • Liaise with IT, Accounting, Billing, and HR departments.
  • Maintain office facilities.
  • Evaluate and adjust workloads; assist with staff support.
  • Handle performance issues and participate in hiring and training.
  • Evaluate the secretarial, copy and litigation clerk workloads; make recommendations to HR Director if changes/adjustments are necessary due to increased or decreased work volume. Implement workload changes/adjustments.
  • Conduct annual reviews and staff meetings.
  • Handle support staff performance issues with the guidance of the HR. This position will with interviewing, onboarding and offboarding of new employees.
  • Coordinate training and orientation for new support staff and existing staff.
  • Perform other administrative tasks as needed.

Qualifications:

  • 5-10 years of operations and facilities management, preferably in the legal industry.
  • Bachelor's Degree preferred, or equivalent experience.
  • Strong interpersonal, organizational, decision-making, and communication skills.
