Location: Boston, MA (Hybrid – at least 3 days in-office)
Our client, a leading global law firm, is seeking a Legal Executive Assistant to support multiple attorneys in their Boston office. This role is ideal for a proactive, highly organized professional who thrives in a fast-paced legal environment and is passionate about providing high-level executive support.
Position Summary
The LEA will serve as a strategic partner to attorneys, enabling them to focus on client service and business development by managing day-to-day operations, coordinating communications, and ensuring seamless execution of administrative and legal support tasks. This individual will act as a liaison across departments and play a key role in maintaining the efficiency and effectiveness of the attorneys’ practices.
Key Responsibilities
- Manage complex calendars, resolve scheduling conflicts, and coordinate detailed travel itineraries.
- Serve as a central point of contact for internal teams and external clients, ensuring timely and professional communication.
- Draft correspondence, prepare reports, and manage confidential documents with discretion.
- Oversee billing processes, including prebilling, budget tracking, and coordination with billing and collections teams.
- Coordinate and prepare materials for meetings, including agendas, presentations, and logistics.
- Maintain electronic and physical filing systems in compliance with firm policies.
- Delegate administrative tasks to appropriate support staff while maintaining accountability for completion.
- Participate in practice group and client team meetings, ensuring accurate documentation and follow-up.
Qualifications
- Minimum of 5 years of executive administrative experience, preferably in a legal or professional services environment.
- High School Diploma or GED required; Bachelor’s degree preferred.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational, time management, and interpersonal skills.
- Ability to handle sensitive information with discretion and professionalism.
- Demonstrated ability to manage multiple priorities and meet deadlines in a dynamic environment.
Work Environment & Expectations
- Hybrid work model with a minimum of three days per week in the Boston office.
- Must be able to work at a computer for extended periods and participate in virtual and in-person meetings.
